2. Information we collect

The personal information we collect depends on how you interact with us.

It may include:

Contact information

  • Name
  • Email address
  • Mobile or telephone number
  • Residential, pickup or drop-off address where relevant

Booking and tour information

Payment and transaction information

We may collect information about payments, invoices, deposits, refunds and transaction status.

Where payment card details are entered through a third-party payment or booking platform, those card details are generally processed by that provider rather than stored in DKT’s general business systems.

Communications

We may retain communications you send to us, including emails, enquiry-form submissions, SMS messages, WhatsApp conversations and other customer-service correspondence where reasonably required to manage your enquiry or booking.

Website and technical information

When you use our website, certain technical information may be collected automatically, including:

Special requirements

For some bookings, you may voluntarily provide information about accessibility, dietary, medical or other requirements that are relevant to safely or appropriately delivering a tour.

Please only provide sensitive or health-related information where it is genuinely relevant to your booking.

Where possible, group organisers should avoid providing unnecessary sensitive information about other guests.

03

3. How we collect personal information

We generally collect personal information directly from you when you:

  • online travel agencies and booking platforms
  • corporate clients
  • schools or other group organisers
  • tourism partners
  • payment providers
  • suppliers involved in delivering your booking.

If you make a booking through a third-party platform, that platform will also handle your information under its own privacy policy.

We may also use information for another purpose where you have consented or where the use is otherwise permitted or required by law.

05

5. Who we share personal information with

We may disclose personal information where reasonably necessary to operate our business or provide a booking.

This can include:

  • tour guides and drivers
  • wineries, restaurants, attractions and venues
  • transport providers and subcontractors
  • booking and reservation providers
  • payment and invoicing providers
  • email, SMS and customer-communication providers
  • website hosting and technology providers

  • government authorities, regulators, courts or law-enforcement agencies where required or authorised by law.

All the above categories exclude text messaging originator opt-in data and consent; this information won’t be shared with any third parties.

We only provide suppliers with information reasonably required for the relevant service.

For example, a venue may need a guest number, booking time or relevant dietary requirement, but may not need your full contact history with DKT.

We may also disclose information where reasonably necessary to protect the safety, rights or property of DKT, our customers, staff, suppliers or members of the public.

06

6. Bookings and payments

Bookings may be made directly with Dancing Kangaroo Tours or through third-party booking and travel platforms.

Third-party platforms may collect information directly from you and provide DKT with the information required to operate your booking.

Payment transactions may also be processed by third-party payment providers.

Those providers have their own privacy and security practices, and we encourage you to review their privacy policies when you use their services.

DKT may retain transaction records such as:

  • amount paid
  • payment status
  • invoice details
  • refund information
  • payment reference numbers

where reasonably required for booking administration, accounting, dispute management and legal obligations.

07

7. Marketing communications

We may use your contact information to send you information about Dancing Kangaroo Tours, special offers, new experiences or other updates where you have agreed to receive them or where otherwise permitted by law.

You can opt out of marketing communications at any time using the unsubscribe option provided in the communication or by contacting us.

Opting out of marketing does not prevent us from sending operational communications that are necessary for an existing booking, such as pickup information, itinerary changes or payment information.

We do not require you to receive marketing communications in order to make a booking.

Text messages (SMS). If you tick the SMS box when you book or send us an enquiry, we may text you about your tour, such as a thank you and review request after your tour, or follow ups on a quote you asked for. Ticking the box is optional and is not a condition of booking. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out, or HELP for help. We will never sell your mobile number, and no mobile information will be shared with third parties or affiliates for marketing or promotional purposes.

8. Cookies, analytics and website technology

Our website uses cookies and similar technologies to operate, secure and understand use of the website.

These technologies may be used for purposes including:

  • remembering website settings
  • website security and spam prevention
  • understanding website traffic and performance
  • measuring how visitors interact with pages
  • improving our website and marketing.

Our website currently uses Google services for website analytics and related website functionality.

We may share customer information, such as a hashed (scrambled) version of your email address or phone number, with Google and similar advertising platforms to measure the performance of our advertising. No readable personal details are shared.

We may also use security technologies such as CAPTCHA or reCAPTCHA to help prevent automated spam and abuse of website forms.

Some cookies and technologies are provided by third parties. Those providers may process information under their own privacy policies.

You can control or restrict cookies through your browser settings. Disabling some cookies may affect parts of the website.

09

9. Overseas service providers

Some technology, booking, communications, analytics or payment providers used by DKT may store or process personal information outside Australia.

As a result, personal information may be accessible from or processed in overseas jurisdictions.

Where reasonably practicable, we take the nature of the information and the provider’s privacy and security practices into account when using third-party services.

Where the Australian Privacy Principles apply to DKT, we will take the steps required of us in relation to overseas disclosures.

Because technology providers and their hosting locations can change, the countries in which information is processed may also change.

If you would like further information about the overseas handling of your personal information in connection with a particular DKT service, please contact us.

10

10. Security and retention

We take reasonable steps appropriate to our business to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.

These measures may include a combination of technical, administrative and access-control measures.

However, no internet transmission or electronic storage system can be guaranteed to be completely secure.

We retain personal information only for as long as it is reasonably required for the purposes for which it was collected, for legitimate business purposes, or as required by law.

Where personal information is no longer reasonably required, we may take reasonable steps to delete, destroy or de-identify it, subject to our legal and record-keeping obligations.

11

11. Accessing or correcting your personal information

You may contact us if you would like to:

  • request access to personal information we hold about you
  • correct information that is inaccurate, incomplete or out of date
  • update your contact details.

We may need to verify your identity before providing access or making a correction.

In some circumstances, access may be limited or refused where permitted or required by law.

If that occurs, we will explain the reason where we are legally able to do so.

To make an access or correction request, contact: contact@dancingkangarootours.com.au

12

12. Privacy questions and complaints

If you have a question or concern about how we have handled your personal information, please contact us first so that we can investigate it.

Please provide enough information for us to understand the issue and identify the relevant booking, communication or information where applicable.

We will review privacy complaints and respond within a reasonable period.

If you are not satisfied with our response and the Privacy Act applies to the matter, you may have the right to raise the matter with the Office of the Australian Information Commissioner.

13

13. Children and group bookings

Some Dancing Kangaroo Tours experiences may allow children or young people to participate when accompanied or booked by an appropriate adult.

We do not intentionally seek more personal information about children than is reasonably required to administer a booking or safely deliver a service.

Information about a child will generally be provided to us by:

  • a parent or guardian
  • the person making the booking
  • a school
  • another authorised group organiser.

If you provide personal information about another person, including a child, you should only provide information that is relevant to the booking and that you are authorised to provide.

If you believe a child has provided personal information to us without appropriate authority, please contact us.

14

14. Photos, video and social media

Photos or video may sometimes be taken during DKT tours or events.

Where DKT intends to use identifiable images of guests for promotional or marketing purposes, we will seek appropriate permission or otherwise ensure that we have a lawful basis to use the material.

You can tell our team if you do not wish to participate in promotional photography.

Information or images that you independently publish on public social-media platforms are also subject to the privacy settings and policies of those platforms.

15

15. Third-party websites and services

Our website may contain links to websites, booking platforms, attractions, venues or other services operated by third parties.

DKT does not control the privacy practices of those third parties.

When you leave our website or provide personal information directly to another provider, that provider’s privacy policy will apply.

We encourage you to review the relevant privacy information before providing personal information to a third party.

16

16. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our services, technology, business practices or legal obligations.

The current version will be published on this page and will show the date it was last updated.

If a change requires additional notice or consent under applicable law, we will take the steps required in the circumstances.
